Reconfiguration of Position Management module in PeopleSoft HCM

The newly reconfigured Position Management module in PeopleSoft HCM will ‘go-live’ in mid February 2010.

Who will be affected by the changes to Position Management?
Site staff that are responsible for submitting or approving PARs and reviewing Allocation Status and Filled Position reports will be affected by the reconfiguration of Position Management.

Why is Position Management being reconfigured?
The current configuration of Position Management at the District allows multiple people to share the same position number. In order to reduce the amount of manual intervention of staff to maintain and process data and to enhance the District’s ability to adequately project and monitor salary and benefit costs, a project is underway to reconfigure to a one-position-to-one person relationship for salaried positions. (Hourly positions will not be affected.)
How does the reconfiguration of Position Management affect me?
Representatives from HR, Finance and IT have been working with site representatives and consultants from Empower Solutions for several months on implementation tasks. Although detailed information and updated training materials will be available for you in January, some initial information is being provided to give you a preview of some of the changes. The following topics are relevant to site staff that are responsible for submitting or approving PARs and reviewing Allocation Status and Filled Position reports:

PARs
Converting to the new one-to-one configuration will require some changes on the PAR. These changes will be identified on all of the related job aides, handbooks and documentation. It’s not anticipated that they will be significant enough to require classroom training. In addition to the updated documentation, the IT Training group will hold Open Labs to assist staff with the new and changed functions of the PAR.

Because of the renumbering/conversion of positions, we expect to have a PAR cut-off date whereby no more PARs can be submitted for a short period of time. This will give HR and Budget some time to complete or cancel all remaining PARs in the bin before go-live. Detailed information will be provided for this in January.

Position Number Conversion
All positions currently start with a ‘1’. During the conversion to the new one-to-one model, all new salaried positions created from conversion will start with a ‘2’. All positions created after go-live will start with a ‘3’. This ensures a relatively easy method to track pre, converted and post go-live positions.

Organizational Structure – Reports to
In order to use some of the self-service and workflow functions available and to eventually produce organization charts, the organization structure must be defined and built into PeopleSoft. An initial pass during the project conversion will update the ‘reports to’ field on the new positions with the highest level position in the same department. There will be additional information gathering and work post go-live to get the true supervisory position identified for each position. Then ongoing reporting changes will be identified by sites through the PAR.
