for year-round sites to submit PARs.&lt;br /&gt;&lt;br /&gt;During the PAR cut-off period, Jan. 23-Feb. 11, ALL sites will still be able to submit Termination, Leave of Absence and Salary Change PARs.&lt;br /&gt;&lt;br /&gt;After Jan. 22, if a site has a critical change that will affect employee pay (such as a new hire, FTE change or classified transfer from year round to traditional site), please contact the PAR Triage Hotline at (619) 725-8101 and a PAR will be created by HR.&lt;br /&gt;&lt;br /&gt;On Tuesday, Feb. 16, all sites will be able to submit all PAR types again.&lt;br type='text'>Reconfiguration of Position Management module in PeopleSoft HCM</title><content type='html'>The newly reconfigured Position Management module in PeopleSoft HCM will ‘go-live’ in mid February 2010.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Who will be affected by the changes to Position Management?&lt;/strong&gt;&lt;br /&gt;Site staff that are responsible for submitting or approving PARs and reviewing Allocation Status and Filled Position reports will be affected by the reconfiguration of Position Management.Why is Position Management being reconfigured?The current configuration of Position Management at the District allows multiple people to share the same position number. In order to reduce the amount of manual intervention of staff to maintain and process data and to enhance the District’s ability to adequately project and monitor salary and benefit costs, a project is underway to reconfigure to a one-position-to-one person relationship for salaried positions. (Hourly positions will not be affected.)&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;How does the reconfiguration of Position Management affect me?&lt;/strong&gt;&lt;br /&gt;Representatives from HR, Finance and IT have been working with site representatives and consultants from Empower Solutions for several months on implementation tasks. Although detailed information and updated training materials will be available for you in January, some initial information is being provided to give you a preview of some of the changes. The following topics are relevant to site staff that are responsible for submitting or approving PARs and reviewing Allocation Status and Filled Position reports:&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;PARs&lt;/strong&gt;&lt;br /&gt;Converting to the new one-to-one configuration will require some changes on the PAR. These changes will be identified on all of the related job aides, handbooks and documentation. It’s not anticipated that they will be significant enough to require classroom training. In addition to the updated documentation, the IT Training group will hold Open Labs to assist staff with the new and changed functions of the PAR.&lt;br /&gt;&lt;br /&gt;Because of the renumbering/conversion of positions, &lt;strong&gt;a PAR Cut-Off will go into effect 1/18/2010. &lt;/strong&gt;No PARs will be submitted after this date until after the Position Management project go-live in mid-February. This will give HR and Budget some time to complete or cancel all remaining PARs in the bin before go-live.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Position Number Conversion&lt;/strong&gt;&lt;br /&gt;All positions currently start with a ‘1’. During the conversion to the new one-to-one model, all new salaried positions created from conversion will start with a ‘2’. All positions created after go-live will start with a ‘3’. This ensures a relatively easy method to track pre, converted and post go-live positions.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Organizational Structure – Reports to&lt;/strong&gt;&lt;br /&gt;In order to use some of the self-service and workflow functions available and to eventually produce organization charts, the organization structure must be defined and built into PeopleSoft. An initial pass during the project conversion will update the ‘reports to’ field on the new positions with the highest level position in the same department. There will be additional information gathering and work post go-live to get the true supervisory position identified for each position. Then ongoing reporting changes will be identified by sites through the PAR.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;How do I learn more about the changes with Position Management?&lt;/strong&gt;&lt;br /&gt;The project team is updating the job aids and documentation to assist you with learning more about changes associated to the reconfiguration of Position Management. In order to reduce the amount of manual intervention of staff to maintain and process data and to enhance the District’s ability to adequately project and monitor salary and benefit costs, a project is underway to reconfigure to a one-position-to-one person relationship for salaried positions. (Hourly positions will not be affected.)&lt;br /&gt;How does the reconfiguration of Position Management affect me?&lt;br /&gt;Representatives from HR, Finance and IT have been working with site representatives and consultants from Empower Solutions for several months on implementation tasks. Although detailed information and updated training materials will be available for you in January, some initial information is being provided to give you a preview of some of the changes. The following topics are relevant to site staff that are responsible for submitting or approving PARs and reviewing Allocation Status and Filled Position reports:&lt;br /&gt;&lt;strong&gt;&lt;/strong&gt;&lt;br /&gt;&lt;strong&gt;PARs&lt;br /&gt;&lt;/strong&gt;Converting to the new one-to-one configuration will require some changes on the PAR. These changes will be identified on all of the related job aides, handbooks and documentation. It’s not anticipated that they will be significant enough to require classroom training. In addition to the updated documentation, the IT Training group will hold Open Labs to assist staff with the new and changed functions of the PAR.&lt;br /&gt;&lt;br /&gt;Because of the renumbering/conversion of positions, we expect to have a PAR cut-off date whereby no more PARs can be submitted for a short period of time. This will give HR and Budget some time to complete or cancel all remaining PARs in the bin before go-live. Detailed information will be provided for this in January.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Position Number Conversion&lt;br /&gt;&lt;/strong&gt;All positions currently start with a ‘1’. During the conversion to the new one-to-one model, all new salaried positions created from conversion will start with a ‘2’. All positions created after go-live will start with a ‘3’. This ensures a relatively easy method to track pre, converted and post go-live positions.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;Organizational Structure – Reports to&lt;/strong&gt;&lt;br /&gt;In order to use some of the self-service and workflow functions available and to eventually produce organization charts, the organization structure must be defined and built into PeopleSoft. An initial pass during the project conversion will update the ‘reports to’ field on the new positions with the highest level position in the same department. There will be additional information gathering and work post go-live to get the true supervisory position identified for each position. Then ongoing reporting changes will be identified by sites through the PAR.&lt;br /&gt;&lt;br /&gt;How do I learn more about the changes with Position Management?&lt;br /&gt;The project team is updating the job aids and documentation to assist you with learning more about changes associated to the reconfiguration of Position Management. How to Change ePro Account Code Numbers</title><content type='html'>&lt;span style="font-family:arial;"&gt;Have you ever wanted to change the Account code within a budget string for an ePro requisition?  By that, I mean have you ever been "forced" by the software to use a particular budget Account when you ordered something, even though you knew it was really the wrong Account?  (An example would be if you were ordering pencils for students to use, and so you want to use Account 4301 for Instructional Supplies, but the software makes you use Account 4519 for Office Supplies).&lt;br /&gt;&lt;br /&gt;Well, now there is a way to change that.  If you order a Special Request or a Direct Connect item in ePro, you can change the Account budget code number to be whatever you want it to be. Good News!</title><content type='html'>PeopleSoft now automatically sets the combo code to 5570-00010-00-2358-15-00-01-0000 for classified substitutes when the absent employee (or vacant position) is funded with resource code 00010, and the substitute works a full day (based on the absent employee's regular hours). The policy for using this combo code was set in place in January of this year. Until now, timekeepers had to manually change the combo code to this number in Time and Labor. Now, timekeepers will no longer need to manually change the combo code in Time and Labor for these classified substitutes, as PeopleSoft sets it automatically.&lt;br /&gt;&lt;br /&gt;Please note that classified substitutes for absences due to worker's compensation, comp day, extra help, or long term extra help are not charged to this combo code. The group has:&lt;br /&gt;&lt;ul&gt;&lt;li&gt;Identified changes to the existing application and developed strategies for providing you with training and support on the new application. &lt;/li&gt;&lt;li&gt;Reviewed new features to determine which ones can be implemented to help you become more efficient. &lt;/li&gt;&lt;/ul&gt;&lt;span style="font-weight: bold;"&gt;What is Asset Management? &lt;/span&gt;&lt;br /&gt;Starting July 1st the district will implement the first phase of a reconfiguration of the Asset Management module. Asset Management is a PeopleSoft module designed to track and report on non-consumable goods (things like computers, projectors, furniture, etc.) that are worth more than $464.00 per unit.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;How does the reconfiguration of Asset Management affect me? &lt;/span&gt;&lt;br /&gt;Starting on July 1st, ePro Requesters will have expanded and meaningful item categories to choose from on Special Requests. Using these item categories will reduce delays in processing orders by helping the Purchasing Department efficiently route the requisition to the correct buyer. When the requester selects the item categories, key pieces of the chart field string will be pre-populated into the requisition. Additionally the use of these predefined item categories will ensure that accurate information flows from the requisition and through purchasing and eventually is stored in the Asset Management module.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;Will this slow down the process of creating a requisition? &lt;/span&gt;&lt;br /&gt;No, it should actually speed it up a little for you. In an effort to provide some clarification, enclosed is a PDF document that describes each of the reports that are to be used by timekeepers and administrators to validate the payroll and when to run them. Please print and review this document. Included with each description is the navigation in PeopleSoft that will take you to each of the reports. We also believe there may be some room for improving the format of these reports to be more easily understood. The Payroll Department will be reviewing these reports in the coming weeks with the intention of revising them to be more user-friendly.&lt;br /&gt;&lt;br /&gt;In addition to reporting requirements, we have provided some clarification on what the 90-day window for making Prior Period Adjustments in Time and Labor should be used for. Periodic outages are expected.&lt;/p&gt;&lt;p&gt;Tuesday, December 19 - IT will upgrade a portion of the district network. All district-wide applications will be available. With exception of Hoover HS, some schools may experience some degradation in performance. Hoover HS will be unavailable on this day from 8:00AM to 5:00PM. &lt;/p&gt;&lt;p&gt;Tuesday, December 26 6:00 A.M. TO 5:00 P.M. - The San Diego County Office of Education will shut down the district internet connection to perform a series of maintenance tasks. PeopleSoft, ZangleConnection, and district email will not be available from home during this time. &lt;/p&gt;&lt;p&gt;Wednesday, December 27 from 6:00 A.M. through 8:00 P.M. Please be sure to look for this e-mail, and print it out to keep it handy.  Read it thoroughly.  Be sure to share the new procedures with your Approver (principal, department head, manager, site administrator, etc.).&lt;br /&gt;&lt;br /&gt;What it boils down to is that beginning on June 5, 2006, Approvers will no longer be able to approve Travel Authorizations and Expense Reports until these items have first successfully passed the budget-check process, and therefore received a "Valid" budget status.  This is a good thing...it means that all travel will only be approved as long as the money is in place and available to pay for it.&lt;br /&gt;&lt;br /&gt;If you have any questions about the new procedures, please contact your Accounts Payable "Vendor" specialist. This problem is being resolved, and the next "reload" is scheduled for tomorrow, April 27th.  Therefore, any budget reports that have been or will be run in the PeopleSoft EPM environment before tomorrow will not reflect true, live information. The new process is similar to the current process used to register for Zangle training classes. Please follow these directions:&lt;br /&gt;&lt;br /&gt;1. Go to: http://www.sandi.net/dwa/peoplesoft and click on &lt;a href="http://www.sandi.net/dwa/peoplesoft/training/index.asp"&gt;Training&lt;/a&gt;.&lt;br /&gt;2. Enter your SDCS Employee ID and Password and click Login. The system may ask for some personal information. If prompted, please enter your name, position, location, and district email address.&lt;br /&gt;3. Click on the "Schedule yourself for classes" link.&lt;br /&gt;4. Select the course you want to add from the drop down menu and click "Continue". A list of available sections will be displayed.&lt;br /&gt;5. Click on the name of the section you want to attend. Details for this section will be displayed.&lt;br /&gt;6. Verify the information is correct and click "add this course".&lt;br /&gt;&lt;br /&gt;You can click on "View your current schedule" to see your list of classes including PeopleSoft and Zangle. Click on "Add a course" link to register for additional classes.
